Mailing Indicator (IMT-MAIL-CODE)

The mailing code field is a one-byte flag to note any restrictions on mail-outs for the firm. This field is located at position 250. If this field indicates a mailing restriction, it means that the employer is to be exempted from QCEW-related mail-outs (most commonly the Multiple Worksite Report (MWR) forms). Either they should not be sent at all, or the employer should only be solicited for this information in the first calendar quarter of each year. Restrictions can be due to automatic reporting of worksite employment and wage data each quarter, or an agreement that such data will be provided only once annually. The values of this field are:

  • ' ' = Mail every quarter (obsolete value; replaced by ‘Y’)
  • 'F' = Mail first calendar quarter only (obsolete; replaced by ‘1’)
  • 'M' = Mail every quarter (obsolete value; replaced by ‘Y’)
  • Y’ = Mail every quarter
  • 'N' = Do not mail at all
  • 1’ = Mail only for first calendar quarter processing
  • 2’ = Mail only for second calendar quarter processing
  • 3’ = Mail only for third calendar quarter processing
  • 4’ = Mail only for fourth calendar quarter processing


Note: The ‘M’, ‘F’ and space values are holdovers from earlier versions of EXPO.  Although they are still received in the IMT interface process, the “M” and space will be converted to a “Y”, the current established every-quarter-selection value.  The “F” code will be replaced with a “1”, which is the current first-quarter-only mail code.  The numeric values ‘1’ through ‘4’ were added more recently as well.


If it is specified, this field will be transferred to the Micro File. If it is left as low-values, the field will remain unchanged for a previously established firm on the Micro File, or will be set to a default value of a “Y”, since the refusal to receive quarterly mailings is the exception rather than the rule.
