Job EARJ101D - Process Input Refiling Transaction (IRT) File

The refiling system batch job parameter entry begins with Job 101D, which is the EARS parallel for EXPO Job 001D. It allows batch updates to refiling data through the IMT equivalent file, namely the IRT (Input Refiling Transaction) File. It even includes a Change Log Report. Even though this appears to be the same kind of process as the IMT updates to the Micro File, the IRT File is rarely needed. Since data are drawn from the Micro File at the beginning of the refiling cycle (through the 100A job), and external data can be introduced with the 013D job, the batch entry of EARJ101D serves a specialized purpose. Normally this will be used when the State has a process in place to draw in an external “keypunch” data source for returned refiling forms, or a similar procedure. The two parameters are described below.

1. Year/Qtr of Data to Extract from Micro File - Any time a Refiling File record is created, there will be some quarter-specific data needed for fill-in to complete the record. This 3-digit field (in yyq format) identifies the year and quarter of Micro File data to use whenever such fill-ins are required. This enables the batch update to be complete, regardless of how much of the IRT File is left as unknown (low-values).

2. Print Change Log Report? - This yes-or-no question selects whether detailed tracking of the batch-applied changes will be listed in the Change Log Report (a direct parallel to the IMT Change Log Report). Since batch updates are not sent to the Refiling Transaction File (which is the same for IMT updates as well), the only tracking of batch updates comes through the Change Log Report. However, for some States, there is no need to have a lengthy report verifying the details of the updates generated by this process.

  • a. ‘Y’ (“Yes”) - This setting allows the Refiling Change Log Report to be produced, enabling the refiling staff to review the updates and ensure they were carried out correctly.
  • b. ‘N’ (“No”) - Do not produce the Change Log Report, as the process has been verified in the past, and the paper production is not necessary.

Job 101D can be submitted at any time during the refiling cycle. However, it requires that the IRT File must have been developed by some external process prior to running the job.
